Cancellation and Refund Policy

Last updated: September 9, 2026

This Cancellation and Refund Policy explains how appointments with Aura Dental may be rescheduled or cancelled, and the circumstances in which any amount paid to Us is refundable. It applies to appointments booked through our website, over the phone, over WhatsApp or in person at either of our clinics, and forms part of Our Terms and Conditions.

Please read this policy before you book an appointment or make any payment. By booking an appointment or making a payment to Aura Dental, You agree to the terms set out below.

Appointments

Booking and confirmation

An enquiry submitted through our website is a request for an appointment, not a confirmed booking. Our team will contact You to confirm the date, time and clinic. Your appointment is confirmed only once You receive a confirmation from Us by call, WhatsApp or email.

Most consultations and routine treatments do not require any payment at the time of booking. Where an advance or booking amount is required — for example for extended chair time, sedation, surgical procedures, or medical tourism packages — We will tell You the amount and the applicable cancellation terms before You pay.

Rescheduling and cancelling an appointment

We understand that plans change. You may reschedule or cancel a confirmed appointment free of charge by giving Us at least 24 hours' notice before the scheduled time.

To reschedule or cancel, please contact Us using any of the following:

  • Call or WhatsApp the clinic where the appointment is booked — Madinaguda: +91 7842871414, Kondapur: +91 9963262774
  • Email us at contact@auradental.ai, quoting your name, phone number and appointment date and time
  • Reply to the confirmation message you received from our team

A cancellation request is effective only when We acknowledge it. If You do not receive an acknowledgement, please call the clinic directly so that the slot can be released for another patient.

Late arrival

If You arrive more than 15 minutes late, We may not be able to complete the planned treatment within the reserved chair time. Our team will either treat You with a shortened appointment where clinically appropriate, or offer You the next available slot. We will always tell You the options before proceeding.

Missed appointments and short-notice cancellations

Chair time reserved for You cannot be offered to another patient at short notice. Where an appointment is cancelled with less than 24 hours' notice, or is not attended at all:

  • For consultations and routine appointments where no advance was paid, no charge applies. We simply ask that you let us know so the slot can be reused.
  • Where an advance or booking amount was paid, We may retain a part of that amount to cover the reserved chair time and any laboratory or material costs already committed. The retained amount will never exceed the advance paid, and We will tell you what has been retained and why.
  • Repeated missed appointments may mean We ask for an advance payment to hold future slots.

We will always waive these charges where the appointment was missed for a medical emergency, a bereavement, an accident, or any other genuine reason beyond Your control. Please tell Us what happened and We will work with You.

Refunds

When a refund is available

You are entitled to a refund of amounts paid to Us in the following situations:

  • You cancel a booked appointment with at least 24 hours' notice and treatment has not begun — the advance is refunded in full.
  • We cancel, reschedule or are unable to provide the treatment You paid for, and You do not wish to reschedule — the amount paid for that treatment is refunded in full.
  • Following clinical examination, Our dentist advises that the planned treatment is not suitable for You — any amount paid for that treatment is refunded, less the cost of any consultation, diagnostics or imaging already carried out.
  • You have paid more than the final treatment cost, or the same amount has been charged twice — the excess or duplicate payment is refunded in full.
  • A multi-visit treatment plan is discontinued before completion — refer to "Treatment already in progress" below.

What is not refundable

The following amounts cannot be refunded, because the service has already been delivered or the cost has already been incurred on Your behalf:

  • Consultation fees, once the consultation has taken place.
  • Diagnostic services already carried out, including X-rays, scans, photographs and impressions.
  • Treatment or any stage of treatment that has already been performed.
  • Custom laboratory work once fabrication has begun — this includes crowns, bridges, veneers, dentures, night guards and clear aligner sets, which are made to Your measurements and cannot be reused.
  • Consumables, implants, appliances and other materials specifically ordered or reserved for Your treatment.
  • Amounts paid to third parties on Your behalf, such as external laboratories, imaging centres or specialist referrals.
  • Discounts, promotional credits, complimentary services and package inclusions, which carry no cash value.

Treatment already in progress

For multi-visit treatments such as root canal therapy, implants, orthodontics and full-mouth rehabilitation, treatment is usually paid for as a plan rather than per visit. If You choose to discontinue treatment part way through, or if it must be stopped for clinical reasons, We will calculate the value of the stages already completed and the laboratory and material costs already committed, and refund the balance to You.

For clear aligner and orthodontic plans, the diagnostic and planning stage and every aligner set or appliance already manufactured are treated as delivered, whether or not You have started wearing them.

We will share a written breakdown of how any such refund has been calculated before it is processed.

Medical tourism and treatment packages

Medical tourism itineraries and treatment packages involve advance scheduling and third-party bookings, so different terms may apply. The specific cancellation and refund terms for a package will be set out in writing in the treatment plan or package confirmation We send You, and those terms take precedence over this section where they differ.

Payments made by You directly to airlines, hotels, transport providers or any other third party are governed by that provider's own policies and are outside Our control. We cannot refund amounts We have not received.

Clinical outcomes and warranties

Dentistry is a clinical service, not a product, and outcomes depend on individual healing, oral hygiene and aftercare. A completed treatment is not refundable solely on the basis of the outcome. If You are not satisfied with the result of a treatment, please contact Us as soon as possible: We will review Your case, and where the concern is clinically justified, We will correct or redo the work under Our care at no additional cost, in line with any warranty applicable to the treatment or laboratory work.

How refunds are processed

To request a refund, contact Us using the details at the end of this policy, giving Your name, registered phone number, the date of treatment or appointment, the amount paid, and the reason for the request. Please keep Your payment receipt or transaction reference available.

  • We acknowledge every refund request within 3 working days of receiving it.
  • Approved refunds are initiated within 7 working days of approval.
  • Refunds are made to the original payment method wherever possible — a card payment is credited back to the same card, and a UPI or bank transfer to the same account. Where the original method cannot be used, We will refund by bank transfer to an account in Your name.
  • Once initiated, the amount typically reaches You within 5 to 10 working days, depending on Your bank or payment provider.
  • Refunds are issued only to the person who made the original payment.
  • Bank charges, payment gateway fees or currency conversion charges deducted by third parties are not reimbursed by Us.

Cash payments are refunded in cash at the clinic against a signed receipt, or by bank transfer if You prefer.

Changes to This Policy

We may update this Cancellation and Refund Policy from time to time. The revised version will be posted on this page with a new "Last updated" date, and applies to appointments booked and payments made after that date. The policy in force at the time You booked or paid is the one that applies to that booking.
